Second Notice of Annual Meeting
The Annual Meeting of Association members will be held on February 27, 2010 at 10:00 AM at The Sandarac Association Social Room. The governing documents of the Association require an owners meeting be held each year. To hold the annual meeting, a quorum of the association’s members must be in attendance by proxy or in person. To avoid the expense of additional mailings, please complete and return your proxy. If you attend the meeting in person, you may withdraw your proxy and vote by way of meeting ballot.
Board Elections
Board of Directors Election: The first notice of Annual Membership Meeting included an invitation to all owners as to whether they would be interested in service on the Board of Directors of the Association. According to Florida Statutes, an election and balloting are required if there are more candidates than vacancies existing on the Board. Therefore an election will be held. The following candidates have submitted their names into nomination. Four of the candidates will assume Directors position at the February 27, 2010 meeting.

Enclosed with this Notice are information sheets, prepared by the candidates for the Board who have elected to submit. The candidates are solely responsible for the contents of their Statements. The Association is transmitting this information in accordance with the requirements of Florida Law; however, the Association is not in a position to verify the accuracy of the information of statement contained therein and disclaims any responsibility for the information contained within the Information Statements.
Voting Instructions
Also enclosed with this Notice is a ballot form. Use the ballot to vote for the candidate(s) of your choice.
1. Vote for no more than four (4) candidates.
2. Insert the ballot in the enclosed Ballot Envelope.
3. Seal the envelope.
4. Do not place any markings on the Ballot Envelope.
5. Place the sealed Ballot Envelope with the inserted Ballot in the Return Envelope.
6. Write your condominium address, unit number and signature on the Return Envelope.
7. Mail or hand deliver the sealed Return envelope to the Sandarac Association prior to the Annual Meeting.
Voting by Proxy
If you are unable to attend the Annual Meeting and wish to vote by proxy, please note the following information about PROXIES:
1. A General Proxy, a copy of which is enclosed, is used for the purpose of establishing a quorum at the Annual meeting in the event that you may not be able to attend the meeting. The General Proxy is not used for any other purpose. All owners of the unit or the designated voter must sign it. Please note that you cannot vote for Directors by proxy.
2. The proxy should be submitted to the Association prior to the scheduled time of the meeting. It can be mailed to the Association or hand-delivered, either by you or your proxy holder. It is encouraged that the proxy be submitted as long before the meeting as possible in order to avoid delay in registration.
3. If you appoint a proxy to another person and later decide you will be able to attend the meeting in person, you may withdraw your proxy when you register at the meeting.
4. A proxy form is enclosed with this notice for your use, if needed.
Again, please be sure to mail in your proxy or attend the Annual Meeting.
The organization meeting of the Board of Directors will be held immediately following the annual meeting.

Please fill in your address, and the name of the person you desire to vote on your behalf if other than the association secretary, date, sign and return this proxy by mail SO THAT IT REACHES the association not later than the meeting date. If the association has on file a Voting Certificate for the unit, only the voter named in that Voting Certificate may sign this proxy, otherwise all unit owners must sign.
